Are there any minimum hardware requirements?

Yes, for optimal performance, we recommend using the current and previous versions of iOS or Android. For desktop use, docu tools should be used with the latest version of Google Chrome or Microsoft Edge. Please also note that mobile devices should have sufficient internal memory (at least 64 GB) available, as large amounts of data are stored locally in offline mode.

Can docu tools also be used offline?

Yes, you can also work without an internet connection. All data is stored in offline mode and automatically synchronised as soon as you are back online.

Are there push notifications for important events?

Yes, docu tools informs you about new tasks, comments or changes in your projects. You can set your preferences manually here.

What user roles are there in docu tools?

docu tools offers various user roles with specific permissions:

  • Administrator: Has full access to the project, can create and edit content, invite members and adjust project settings.
  • Assistant: Supports the administrator, can create and edit content, but cannot change project settings.
  • Internal viewer: Can view all content in the project, but cannot make any changes.
  • External viewer: Has access to specific content that has been shared with external partners, with limited editing rights.
  • Subcontractor: Can view and edit tasks assigned to them, but no other content in the project.

An active, paid licence is required for the roles of administrator, assistant and external viewer. Subcontractors and internal viewers do not require a paid licence.

What are the differences between Pocket, Combo and Multi Tool at docu tools?

Pocket Tool – The Pocket Tool offers the basic functions of docu tools and is ideal for beginners or for project participants who have been invited to collaborate on an existing project. It is a cost-effective option for anyone who wants to get to know docu tools or collaborate on a selective basis.

Combo Tool – The Combo Tool includes all the essential functions for comprehensive work with docu tools. These include user-defined report templates & pin fields, a higher number of plans per user, and access to datasets. It is the right choice for teams that work with docu tools on a regular basis.

Multi Tool – The Multi Tool is aimed at larger organisations with more complex requirements. It offers a significantly expanded number of plans, functions such as QR codes and GPS tracking, and special features for large customers – such as the management of subsidiaries or departments and the ability to restrict project folders for individual users.

Is my data encrypted?

Yes, your data is protected by industry-leading security measures. Since docu tools is a cloud-based tool, files do not need to be stored locally, which minimises the security risk to your devices.

Can I export my data?

Yes, you can export your project data in various formats such as PDF, Word, Excel or JPG. This allows you to back up all data at the end of a project and archive it on your own computer or an external hard drive.

Which roles/users are free of charge?

Subcontractors and internal viewers do not need a paid licence to participate in projects. They can be invited with a free licence and have limited access rights according to their role.

Can docu tools also be hosted locally?

docu tools offers special solutions for large customers that enable local installation (on-premise). Please contact our sales team for further information on individual solutions.

Can data be deleted in docu tools?

In docu tools, content cannot usually be completely deleted, but only deactivated. This ensures that the work performed is recorded in an indisputable manner. However, empty folders and contacts can be removed.
